We have an opening in Costa Mesa for an Office Administrator.
We are onsite Monday to Friday from 8:00am-4:30pm
We specialize in construction, homebuilders, restaurants, apartments car dealerships.
In this role you will be responsible for
Answering all incoming calls
Mailroom, Fed-Ex, Amazon and UPS deliveries
Maintain office supply inventory-maintain the office clean and put the dishes away at the end of the night.
Order supplies for the office and maintain the break room fully stocked and organized.
Maintain vendor contract information
Maintain truck maintenance-make appointments for oil changes etc.
Maintain and organize company documentation including contracts, certificates, licenses and compliance records.
Order business licenses and make sure company has lien releases.
Will order bid request
We are looking for someone that is detailed, well organized, able to work in fast-paced environment, willing to learn new things and be proactive and is computer savvy in Word, Excel and be able to use AI and ChatGPT.
Bi-lingual is a plus
Skills:
3 years of recent office work, in construction as a receptionist or administrative assistant
Strong organizational and document management skills
Excellent communication and problem-solving abilities.
Ability to manage multiple priorities in a fast-paced construction environment.
